Best church management software for UK churches
An evidence-led way for UK churches to shortlist church management software around their real work, UK requirements and ability to run it well.

There is no honest single answer to “What is the best church management software?” A system is only good if it makes your church’s recurring work more reliable without creating a level of administration, cost or data risk that the church cannot sustain.
For most UK churches, the best shortlist is two to four products that meet a written set of non-negotiables. That normally includes the work you need to improve, who will own the system, what data people may see, how you will leave, and whether UK matters such as Gift Aid, sterling billing and VAT are actually supported.

Start with the operational shape of your church, not the supplier with the longest feature list.
- ChurchSuite is a strong starting point for UK churches that need a broad, connected system covering people, rotas, events and giving. - Planning Center is a credible modular option for teams focused on people, service planning and volunteers. Its People product is free, while other products have separate capacity-based pricing. - ChurchCRM is free, open-source software rather than a supplier-run service. It can reduce licence spend, but the church takes responsibility for hosting, updates, backups, access control and support. ChurchCRM FAQ.
These are examples from this directory’s current, representative catalogue—not a market-wide ranking. “Not confirmed” is a reason to ask the supplier a better question, not evidence that a feature is absent.
The decision most churches miss
The usual debate is “suite or specialist tools?” The more useful question is: which system gives us a dependable shared record without creating more governance than we can carry?
That is the hidden cost of a feature-heavy choice. A broad platform can replace disconnected spreadsheets, inboxes and volunteer lists. But it also needs a named owner, data rules, role-based access, training and a willingness to stop maintaining shadow systems. If none of those is realistic, a smaller system—or a cleaner process—can be the better result.
The reverse is also true. A low monthly price is not economical when the team must manually reconcile attendance, rotas, giving and contact lists every week. Price the work the church continues to do outside the software.

UK checks that should change the shortlist
Treat church data as a decision criterion
Church management records can reveal religious belief and may also include health, pastoral or safeguarding information. The ICO identifies religious or philosophical beliefs as special category data, which has extra protection under UK GDPR. A church needs an Article 6 lawful basis and a separate Article 9 condition when it processes special category data; it must decide and document its position before processing. This is not a reason to reject cloud software automatically. It is a reason to ask for current evidence rather than accept a “GDPR compliant” badge. For each contender, obtain the data-processing terms, sub-processor information, account security controls, export arrangements, data-location or transfer information, retention position and incident process. Check Gift Aid as a workflow, not a tick box
Gift Aid support is only relevant if the church wants the product to help with its giving administration. When it is relevant, ask whether the exact workflow covers donor declarations, eligible donations, claim preparation, correction handling, exports and any per-claim charge. The directory currently has Gift Aid confirmed for ChurchSuite and iKnow Church; it is not confirmed for Planning Center, ChurchDesk or ChMeetings.
Do not interpret an unconfirmed field as a product failing. Ask for the answer in writing, then check it with a realistic sample workflow.
Compare the bill you will actually receive
Ask every supplier to quote or confirm the same scenario: your current number of active people, likely growth, required modules, billing frequency, VAT, training, migration, messaging, payment charges and any equipment. The public starting price is useful context, but it rarely gives the total.
For example, ChurchSuite’s published price changes with active contacts and selected modules; ChurchDesk’s published figures are annual-billing prices excluding VAT; iKnow Church publishes separate finance charges; Planning Center prices products separately. Those are different pricing models, not directly comparable monthly numbers.
Run a short, evidence-led trial
A polished demonstration cannot prove everyday fit. Use fictional or carefully minimised sample data, and make every contender complete the same five tasks:
- Create a newcomer record, assign a follow-up task and restrict who can see it.
- Set up a small group or team, then check exactly what its leader can access.
- Build a rota, invite volunteers and process one cancellation.
- Record sample attendance and create the report a leader actually uses.
- Export the sample people data and open it without supplier help.
Record four things after each task: whether it worked, how much training it required, what workaround was needed and who would own that workaround. This turns supplier claims into decision evidence.
When a church should not buy a broad system yet
Pause before buying a suite if the church cannot name a system owner, has no time to clean duplicate records, does not agree basic access rules, or mainly needs one specialist workflow such as online giving or rota management. A shared spreadsheet and a documented process may be safer for a season than a sophisticated system nobody maintains.
That is not an argument against software. It is an argument for buying only the operating model the church can actually run.

- Which plan and optional modules support our exact number of active people and users?
- Is the price in pounds sterling, does it include VAT, and what could change it at renewal?
- Which roles can view, edit, export and delete people, pastoral and financial records?
- What can we export at any time, in which formats, and what happens after cancellation?
- Which Gift Aid tasks are supported in our intended workflow, and what charges apply?
- Which implementation, migration and training work is included or chargeable?
- Which claim in this proposal should our team test during a trial?
A defensible recommendation
The best church management software is the one that passes your church’s real workflow test, has evidence for its UK requirements and leaves the church able to govern its own information. A famous name, a free tier or a long feature list cannot substitute for that.
